This privacy policy explains how Elephants in the Room B.V. handles personal data on this website, elephantsintheroom.co, and in Elly, our platform at app.elephantsintheroom.co.

1. Who we are
Elephants in the Room B.V., Flight Forum 3518, 5657 DW Eindhoven, the Netherlands, registered with the Dutch Chamber of Commerce (KvK) under number 8145 1385 (“we” or “us”).

2. This website
For this website we decide what is collected and why, so we are the controller of that data.
Visiting the website
Our hosting provider Vimexx serves the website from the Netherlands. Like every web server, it records each request in a log: your IP address, the page asked for, the time, and your browser’s name. These logs are kept for a limited time to keep the server secure and running, and are not used to profile you.
The website loads its fonts and images from our own server. The only other company a visit reaches by itself is CookieYes, whose servers send the cookie banner and so receive your IP address.
Cookies and analytics
We use Google Analytics 4 to count visits and see which pages are used, and only after you accept analytics cookies in the cookie banner. Until then, the Google Analytics script is not even loaded. CookieYes provides the banner and keeps a record of your choice. The Cookie Policy lists every cookie and how to change your choice.
The map on the Contact page
The map of our office comes from Google Maps and is loaded when you open the Contact page. Google then receives your IP address and may set its own cookies.
Booking a meeting
“Request a demo” and “Book a meeting” open our booking page at Calendly. What you enter there, such as your name, email address and any notes, reaches us through Calendly so we can hold the meeting. Calendly’s own privacy policy applies to its pages.
Emailing us and applying for a job
When you email us, or apply for a vacancy by email to website@eitr.co, we receive your email address, your message and anything you attach, such as your CV and letter. Our email is hosted by Microsoft.
We use your message only to answer it. We use an application only for that vacancy, and delete it no later than four weeks after the procedure ends, unless you allow us to keep it for up to one year for future vacancies.
Why we may use this data
- Server logs, emails and meeting bookings: our legitimate interest in running a secure website and answering the people who contact us.
- Analytics cookies and the map: your consent, which you can withdraw at any time.
- Applications: the steps you ask us to take before a possible employment contract.
3. Elly, our platform
Organisations use Elly to hear from their employees, customers or other groups. When an Organisation invites you to Elly, that Organisation decides what is asked and why: it is the controller, and we process the data on its behalf as its processor, under our agreement with it and our Terms and Conditions.
In Elly we process the details the Organisation gives us to invite you, such as your name, email address and team, your account details if you log in, your answers and conversations with Elly, and technical data such as log files needed to run the platform securely.
We use this data only to provide Elly to the Organisation as agreed, and never sell it. We keep it for as long as the agreement with the Organisation requires, and destroy it no later than 30 days after that agreement ends.
To use your rights over data in Elly, contact the Organisation that invited you; we help it respond. The companies that help us run Elly are set out in our agreement with the Organisation, and you can ask us for that list.

4. Who receives your data
We never sell personal data. We share it only with the companies that help us run this website and Elly, under agreements that bind them to our instructions, and when the law requires it.
For this website these are Vimexx (hosting), CookieYes (the cookie banner), Google (Analytics and Maps, each only after your choice), Calendly (meeting bookings) and Microsoft (email).
Where one of them processes data outside the European Economic Area, the transfer relies on an adequacy decision of the European Commission, such as the EU-US Data Privacy Framework, or on the European Commission’s standard contractual clauses.
5. Your rights
Under the General Data Protection Regulation (GDPR) you may ask us to show you the personal data we hold about you, to correct or delete it, to limit or stop its use, and to give it to you in a format you can take elsewhere. Where we rely on your consent, you can withdraw it at any time; for cookies, use the cookie settings button on any page.
Email info@eitr.co and we will answer within one month. If you are not satisfied with our answer, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
6. Security
The website and Elly are only served over encrypted connections, and only the people who need personal data for their work can reach it.
7. Changes to this policy
When the way we handle personal data changes, we update this page and the date at the top.
